ALTERNATIVE HIGH SCHOOL - PROJECT STUDENT RECORDS COORDINATOR

Olive-Harvey College is currently looking for a full time Project Student Records Coordinator.  This position is responsible for overseeing the complete enrollment process for all incoming students and monitoring and reporting all student data to reporting agencies to maintain compliance with grant guidelines.

 

DUTIES & RESPONSIBILITIES:

  • Administers pre-test to potential students and communicates application processes with prospective students and their families.
  • Collects, enters, and maintains all pre-enrollment data and records for the creation of student files.
  • Conducts lottery for potential student enrollees and maintains and updates the lottery waiting list as needed. Sends all necessary lottery documentation to Charter School office.
  • Reports accurate attendance to Chicago Public Schools for the purpose of completing average daily attendance count for tuition payment.
  • Compiles and submits attendance and retention reports to Charter School office.
  • Oversees teacher attendance reporting. Checks for accuracy and analyzes possible student truancy or chronic attendance problems.
  • Compiles daily attendance report and forwards to Middle College administration for purposes of student guidance and student retention.
  • Conducts all school testing three times a year in order to report student progress to local and state school offices.  
  • Tracks and inputs all student attendance, achievement, and progress towards academic goals for reporting purposes.
  • Ensures all grant compliance requirements are complete and up-to-date.
  • Bachelor’s Degree in Education, Psychology, Counseling, or related field preferred supplemented by a minimum of three years of experience with student records. 
  • Experience in a school Registrar’s Office preferred.
  • Requires knowledge of or a strong willingness to learn Student Reporting Data Systems, IMPACT, and Power School.
  • Must be organized and able to meet deadlines. All work assignments must be compliant with grant guidelines and accurately completed in a timely fashion.
  • Excellent oral and written communication skills required with the ability to interact effectively with students.
  • Must be able to work well within a culturally diverse environment with the ability to handle all situations with tact and diplomacy.
 Chicago residency is required for all full-time employees within six months of hire.
