PRIMARY OBJECTIVE

The Manager-Accounting & Operations (CCCF) will support the City Colleges of Chicago Foundation team with critical operational functions that will advance the CCCF’s mission and goals.  Reporting to the Executive Director of Finance & Operations and the Executive Director of Development, the Manager-Accounting & Operations (CCCF) will assist in coordination and execution of day-to-day activities of the Foundation to manage data and records maintenance, accounting functions, CCCF Board of Directors activities, and Foundation events. 

 

ESSENTIAL DUTIES

ACCOUNTING  

  • Supports Executive Director of Finance & Operations in preparing for the audit and accurate record keeping according to FASB Accounting Standards.
  • Assists Executive Director of Finance & Operations in all accounts payable and accounts receivable functions of the Foundation.
  • Ensures that transactions are accurately captured in Foundation systems including Bloomerang, Expense Tracker, Blackbaud Scholarship Award System, PeopleSoft, and other relevant CRM systems. 
  • Reconciles Foundation bank account(s) in collaboration with CCC Foundation staff, and the CCC Treasury and Accounting teams which posts all revenue and expenses into PeopleSoft, the CCC and CCC Foundation’s accounting system of record.
  • Assists Executive Director of Finance & Operations with requests for the disbursement of funds including scholarship payments, grant budget allocations, vendor payments, and quarterly CCCF board approved transfers with appropriate documentation and accounting strings.
  • Collaborates with the Executive Director of Finance and Operations and Executive Director of Development to prepare reports and supporting documentation for CCCF board of director meetings.
  • Ensures current and new CCC employees are trained in preparing payment requests with appropriate documentation.
  • Onboards new CCC Foundation vendors by obtaining W-9s, ACH, and Vendor set up forms to create vendor profiles in PeopleSoft.
  • Maintains CCC Foundation vendor records; collaborates with various CCC stakeholders and outside vendors on the status payments and transfers.
  • Other accounting-related duties, as assigned.

RESOURCE DEVELOPMENT

  • Assists Foundation team with maintaining all CRM data input, including maintenance, and updating of existing data, creating, and managing donor and prospect records, managing campaigns, logging pledges and gifts.
  • Reviews, modifies, and in some cases, develops system for data entry that will allow for optimum reporting, querying, and prospecting
  • Regularly creates and runs reports on donations, including monthly reports and board updates.
  • Provides timely and accurate financial and donor reports such as donor contribution and disbursement reports.
  • Manages the preparation and sending of donor contribution acknowledgements.
  • Provides fundraising support including but not limited to annual fundraising drives.
  • Supports the planning and execution of Foundation events.
  • Provides consistent, timely, and accurate research or data reports for the Foundation team and Board of Directors as requested.
  • Manages projects for tasks related to CCCF Board of Director meetings and activities, including, but not limited to meeting logistics, agendas, and follow-ups.
  • Performs other duties as assigned.

Reports To                       CCC Foundation Executive Director of Finance & Operations;

CCC Foundation Executive Director of Development

Direct Supervision          None

 

QUALIFICATIONS

  • Bachelor's degree from an accredited college or university in Accounting, Business Administration, or a related field
  • Five (5) years of progressively responsible experience in the accounting field
  • Experience with fund accounting for a 501(c)3 organization is preferred
  • Competency with finance / accounting software applications required
  • Knowledge of fundraising CRM’s, such as Bloomerang/Salesforce, preferred.
  • Demonstrated knowledge of accounting principles and best practices.
  • Ability to periodically work evenings and weekends as needed, travel to events on and off campus.
  • Self-starter and critical thinker with the ability to think beyond the numbers and how they have the capacity to tell stories
  • Must possess a high level of attention to detail
  • Excellent communication skills
  • Strong analytical and strategic thinking skills to provide thought leadership and identify financial, operational, and process improvement opportunities.
  • Ability to learn from mistakes and to apply lessons to reflect new knowledge, insights, and a continuous improvement mindset
